Page layouts — customizing what each screen shows

Rearrange a record page to match how your team works, keep your own arrangement, and publish one as the company screen for everyone.

Every record page in Linbis — quotes, shipments, shipping orders, warehouse receipts and releases — can be rearranged to match how your team actually works. Move the cards you use to the top, hide the fields you never fill in, rename a label to your own wording, and keep the result as a layout you can switch back to.

Nothing you do here changes the data. A layout decides what you see; the record keeps every value it had.

Which screen am I seeing?

Under the tabs of every record there is one control that tells you. It reads:

  • Linbis standard — the arrangement Linbis ships. This is what you see until someone changes it.
  • Company screen — the arrangement your company published for everyone.
  • The name of your own layout, with the number of changes it makes to the company screen.

Open it to switch between your layouts and the company screen, to delete a layout you no longer need, or to open the screen's History.

Making a change

Open any record and choose Customize, beside that control. The page stays exactly where it is — you arrange it in place, on the real record. Everyone can do this for their own screens, unless an administrator has switched it off for them or for a custom role they hold.

While you are arranging you can:

  • Move a card — drag it, or use the move buttons in its menu.
  • Hide a card, a field or a tab — hidden items go to the Hidden tray, so you can bring them back.
  • Rename a field — choose Rename… and type the wording your team uses.
  • Change the card width — full width, two or three cards side by side.
  • Switch between tabs and one page — one page stacks every section.
  • Add a tab — up to four of your own, each holding the sections you put in it.

Undo steps back through your changes, and Cancel puts the page back exactly as it was. Nothing is saved until you choose Save. If you try to leave with unsaved changes, Linbis asks first.

Arranging needs a larger screen. On a phone you see your layout and can switch between layouts, but you cannot change them.

Fields that refuse to hide

Some things cannot be hidden. The Overview tab always stays. Customs and compliance fields — entry number, bond number, FIRMS code, in-bond number, AMS status on air and ocean imports — stay on screen whatever layout you build, because a shipment record has to show them. On a warehouse receipt, the status bar can be moved but not hidden: it is the control that moves the receipt along.

When you try to hide one, the editor tells you why rather than letting you save a layout that would be refused. The same applies to a card: if a card holds one of these fields, it cannot be hidden either, since hiding a card hides everything inside it.

Saving: just for you, or for everyone

When you save, you choose:

Save for me — the layout is saved under a name you pick, and only your screens change. Keep several and switch between them. Useful when the same screen serves different jobs: a customs-focused layout and a booking-focused one, for example.

Publish to everyone — available if you have the publisher permission. This becomes the company screen: what every colleague sees, with their own changes on top if they made any. You can add a note; your note and your name are shown to everyone who uses the screen.

If someone else published while you were arranging, Linbis shows you what they changed and lets you keep your changes on top of theirs, instead of overwriting their work without saying so.

Saving under a name that already exists replaces that layout, and personal layouts keep no history. Linbis warns you and asks you to confirm before that happens — read the name in the warning before ticking Replace it.

When the company screen changes, the people who use it see a short notice the next time they open it, saying what changed.

Locks

A publisher can lock a section, a field or a tab from the Save step. A locked item looks the same for everyone: nobody can hide, move or rename it in their own layout. A lock applies to publishers too — to change a locked item, unlock it and publish first.

In the Hidden tray, items your company hid and locked are marked Locked by your company.

History and going back

Every time the company screen is published, Linbis keeps the version, who published it and when. Open History from the control under the tabs to see them. A publisher can Restore an earlier version, or choose Reset to Linbis standard. Before either happens, Linbis lists what will change for everyone and asks you to confirm.

Seeing a screen as someone else

A publisher can choose Preview as… and pick a role or a colleague. The page then shows the arrangement that role or person gets, and hides costs and margin if they are hidden for them. The preview is read-only: the record shown is the one you opened, nothing can be edited, and you leave it with Exit preview.

Cargo columns

The cargo grid on receipts, shipments, releases, shipping orders and quotes has its own column order, and it is the same on all of them.

  • Move a column — drag its header, or use the header's menu.
  • Hide a column — from the same menu. Bring it back from Columns.
  • Keep in view while scrolling — the column stays in place while the rest scroll sideways.

Your changes are saved for you as you make them. A publisher can choose Use this order for everyone to make it the company order; everyone without an order of their own then sees it. Use company order puts you back on it.

Creating a new record

The creation form follows the layout of the record page, so a quote you create shows the fields your quote layout shows, under the names you gave them. Charges and commodities are the exception: they attach to a saved record, so they only appear once the record exists.

The New receipt form follows your receipt screen completely: its sections, their order, your field names and what you hid. Until the receipt screen is customized, it is the form you know. Two things hold whatever the design says:

  • A receipt needs a warehouse and a shipper or supplier, so those fields show even if the layout hides them. If your company has one warehouse, it is filled in for you.
  • Nothing Assist read is lost silently. If Assist filled a field your form hides, the form says so, shows the value, and lets you keep it or drop it.

On a creation form you can switch between layouts. To change a layout, open a saved record.

The Freight Desk rail

The panel beside an email on Freight Desk can be customized too, and it is remembered per email type — a quote request and an arrival notice each keep their own arrangement.

On a quote request, you can also choose which of the extracted fields appear. Teams that quote several services often need a different set for each: an FCL import quote asks for different information than an air quote. Build one layout per quote type, name it, and pick it when you read the email.

Two things hold whatever you choose:

  • Fields needed to price a quote always show. Customer, mode, operation, origin, destination, incoterm, weight and volume stay on screen, so a layout can never hide the reason a quote is not ready to price.
  • Nothing the agent read is thrown away. Fields your layout leaves out are still saved with the quote. Any that carry a value appear under Also found in this email, with the value, so you can check them without adding them back.

Starting over

To drop your own arrangement, open the control under the tabs and choose Switch to company screen. You go back to what your company published, or to the Linbis standard if it has published nothing. Your saved layouts stay in the list until you delete them.
