Getting started

Your first week in Linbis

The guided setup that configures your workspace with you — company details and logo, team, inbox and your first record — the setup helper that reads your website, the guided tour you can pause and relaunch from Help, and the Getting started checklist that records your progress.

Your first session in Linbis does real work. A short guided setup asks about your business, then puts your address and logo on your invoices, invites your team, connects your inbox and lets you choose how to bring in your first record. A guided tour then walks you through Linbis on the real screens, following the choices you made, and the Getting started checklist keeps the record of what is done.

Nothing is sent, invited or saved until you click the button that does it, and nothing is filled in with sample data: every record you see is one you created.

The guided setup

Signing up, or creating another workspace from the organization switcher, opens the guided setup. Each screen asks one thing. The top bar shows a progress bar with the title of the screen you are on, Questions? and Exit setup; the footer has Back and the screen's main button. On a wide screen a preview on the right shows what your answer changes, marked Example until it shows your own data.

Your business

  • Welcome sums up what Linbis does for you, including that a new workspace sends nothing unless you approve it (you can change that later in Autonomy Settings); Let's set it up moves on.
  • Your company asks for the name printed on your quotes, invoices and shipping documents; Create workspace creates your workspace with it.
  • Your role, What you handle (choose all that apply: Ocean, Air, Ground, Customs brokerage, Warehouse, Courier), Your volume and Your data today (where you keep your data now: spreadsheets, another system, or nowhere yet). After each answer, a one-line note signed @Linbis · Setup guide says what that choice means in Linbis.
  • Set up my workspace saves your answers. Getting things ready ticks off each part only once it has actually happened: your workspace, your profile, a read of your company website (see the setup helper below) and your Getting started list.

Your answers tell Linbis what kind of business you run (a forwarder, a warehouse, or a customs broker) and your role. That changes the wording, what is recommended first and which first record is offered. It never hides a module.

Your documents

What goes on your invoices? asks for your address and phone. Type your Business address and pick it from the suggestions, or choose Enter it by hand. Then Add your logo: upload it, take the one found on your website, or Save without a logo (your company details then stay on the checklist, saying what is missing). A preview shows your invoice header as it will print. Save and continue saves what you entered.

Your team

Who works with you? takes up to ten email addresses, each as Admin or Member. Linbis warns you about a shared mailbox such as ops@ or sales@ (connect it as an inbox instead), about your own address and about a mistyped one. If your plan charges for extra seats, you see the price before you send, and it applies only when the person accepts; if your plan has no free seat, a link takes you to billing. Send invitations sends them, and each row shows how it went.

The documents and team screens are for administrators. Anyone else goes straight to the inbox, and the last screen reads Your administrator sets the company details and the team.

Your inbox

Connect your inbox: choose Gmail, Outlook or another provider (IMAP) and connect. Linbis spots quote requests and shipment updates in your email and drafts replies; nothing goes out without you. When you come back from your email provider, setup picks up on this screen. If your Microsoft 365 account needs your IT administrator's approval first, the screen shows Waiting for your IT admin with an approval link to send them; you can go on and connect later.

Your first record

Linbis asks how you want to start and marks one option Recommended. What you see depends on your business:

  • A forwarder: Create one by hand, Import a spreadsheet (on a wide screen, when you have data to bring), Receive cargo at the warehouse if you also handle warehouse work, and Send a quote first. Sales roles get the quote recommended; large volumes, the import.
  • A warehouse: Receive cargo by hand, or a quote.
  • A customs broker: Create an import shipment; the customs entry is then started on that shipment's Customs tab.

I'll do it later is always there. Nothing is created on this screen: the guided tour opens the real page with you.

Ready

All set lists what you did and what is waiting in Getting started. An administrator can open Show or hide modules to switch modules off; nothing is switched off for you, and you can change it any time in Settings. Start the guided tour finishes setup and starts the tour; Go to my dashboard finishes without it, and you can start the tour later from Help.

Doing it later, or leaving

  • Do it later on the documents, team, inbox and first-record screens moves on; the step waits on your checklist.
  • Exit setup asks Continue later? Before you click Set up my workspace, your answers stay in this browser and Tell us about your business waits as the first checklist item. After it, what you did stays done, and Getting started offers Finish setup, which reopens setup at the first step still open.

The setup helper

When you sign up with an email address on your company's own domain (not Gmail, Outlook and similar), Linbis reads your public website while you set up and proposes what it found on Your documents:

  • Found on your website, with Use it, fills only the fields that are still empty. Check them, then save; it never replaces what you typed.
  • If the company on the website has a different name from yours, a warning says so, and that name is never used.
  • Use the logo from yourcompany.com proposes the logo found on your site.
  • If nothing could be read, type the address under Your company website and click Read my website, or enter the details yourself.

Only administrators see these proposals. Linbis never takes people from your website: the team screen never suggests anyone.

Questions? in the top bar opens the Setup helper, with short answers to What does setup do?, Who sees my data? and What does it cost? It never sends, invites or saves anything.

The guided tour

The tour walks you through Linbis on the real screens, one chapter at a time. Each step highlights one thing and says in one sentence what it is for; Let's go starts, Next moves on, Take me there opens the next page.

Chapters

The chapters follow your business and skip what setup already did. The first step names them, with an Already done in setup line for the ones you will not see again.

  • Welcome: what is ahead, and your first-week list on the dashboard.
  • Your company: only what is still missing (address, phone or logo), in Settings.
  • Your inbox: connect it, if you have not yet.
  • Your first record, following the choice you made in setup: Your first shipment, Bring in your shipments, Your first receipt, Your first quote, or Your first import and its customs entry.
  • More of Linbis: one stop for each other part you use: quotes, the warehouse, customs.
  • Your team: invite someone, if you have not yet.
  • @Linbis: the AI auto-processing switch in Settings, explained. It is off for a new workspace, and the tour never turns it on.
  • Help: where help and this tour live.

The inbox and first-record chapters come in the order that suits your role. The company, team and @Linbis chapters are for administrators.

Doing the real thing

Some steps ask you to do it for real: Do it now lets you create the shipment, receipt or quote yourself, and the tour waits until the record is actually saved before it goes on. Every hands-on step has Skip for now. A step you have already done is passed with Already done; if a screen does not show what a step points at, the tour moves on with We skipped this step.

Pausing and coming back

Close the tour card (Pause the tour) at any time. A small bar at the bottom of the screen then shows Tour paused with Continue; its menu offers Skip chapter, Start over and Close the tour. Your place is saved to your account, so you can continue tomorrow or on another computer. Skipping a chapter, including the last one, never counts as finishing: the tour is finished only when you reach its final step, and then shows You're all set! with what you did.

Who gets the tour

  • The person who finished setup with Start the guided tour: it starts on its own.
  • Invited teammates: they do not go through setup. On their first visit to the dashboard they get a short version: Welcome to the team, their own inbox, Where you'll work (the part of Linbis their role uses most), and Help.
  • Everyone else, including workspaces that were running before the guided setup: from the Help menu.

Starting it again from Help

The ? button in the top bar opens the Help menu: Help for this screen, Take the tour (Continue the tour while one is under way), Getting started and Help Center. Taking the tour again starts it from the beginning. Administrators get the full tour; everyone else gets the short version.

On a phone

On a phone there are no spotlights. The same steps appear in a card docked at the bottom of the screen, with a soft outline on what the step explains and nothing dimmed; Take me there opens the step's page. Getting started lists the whole tour as a guided list (see below), so you can see what is left and continue from there.

The Getting started checklist

The checklist remains the record of your progress. Nothing on it is required, and every tick comes from real records in your workspace: it turns green when the thing actually exists, not when you press a button. A workspace that was already running gets it too, with whatever is already in place ticked.

  • On the dashboard: a card titled Your first week in Linbis with a progress bar (2 of 6), the next things to do, and one row per remaining item. Once your inbox is connected and your first shipment is in, the card shrinks to a single progress line with a Continue link.
  • Getting started in the sidebar, right under Dashboard: the same checklist as a full page. It stays in the sidebar until every item is done, even if you hid the dashboard card. When all six are done the page shows You're all set, with links to your dashboard and to Settings.

Getting started also holds Your guided tour: every chapter with Done in setup, Done or Up next beside it, and Continue and Skip chapter (or Start the tour if it has not started). While setup is unfinished it offers Finish setup.

The six items and what counts as done

ItemCounts as done when
Tell us about your businessYou saved your answers with Set up my workspace. Leaving with Exit setup before that does not count.
Bring in your first shipmentYour workspace has at least one shipment, or one shipping order that is not cancelled. Import takes a CSV file; Create opens a new shipment.
Connect your inboxA Gmail, Outlook, or IMAP mailbox is connected and syncing. The card offers the same buttons as Settings → Connect email.
Add your company details and logoYour company has an address, a phone number, and a logo in Settings → General. When this one ticks, the row shows a small preview of your document header.
Invite a teammateYou sent an invitation, in setup or from Settings → Team Members, or a second person has already joined the workspace.
Send your first quoteA quote has left the draft stage — sent to the customer, accepted, converted, or even declined or expired. See Create a quote and convert it to a shipment.

Two variants of the shipment item, chosen by your answers:

  • If you only handle warehouse work, the item reads Receive your first cargo and a warehouse receipt that is not cancelled counts as done.
  • If you only handle customs brokerage, it reads File your first shipment: the import shipment your customs entry hangs on.

Because every tick is derived from records, it is always honest: a shipment you delete makes the item open again until you create another one. Milestones you reached are remembered, though: a finished checklist stays finished.

Show me

Each open item still has a Show me button for a quick look at one screen: it takes you there and walks you through it in a few steps. Use Next, Back and Done; Skip tour closes it and leaves you on the screen. On a phone or a narrow window the button reads Open and simply opens the screen.

Hiding and reopening the card

Hide on the dashboard card asks once to confirm and then removes the card for you; other people in the workspace still see theirs. The Getting started entry stays in the sidebar, so you can come back to the checklist at any time; it disappears on its own once all six items are done.

The welcome email

The person who creates the workspace receives one email, Welcome to Linbis: your first week starts here, with the three things to do first and a button, Open Getting started. The link works for as long as the workspace exists, so you can return to it later.

Next

Take the orientation, Navigating Linbis, then do the full loop once: Your first ocean shipment, end to end.
