Opening an invoice from the Invoices list lands on its detail page — everything about one customer invoice, plus the actions that move it through its lifecycle. Which buttons appear depends on the invoice's status.

Tabs

Line Items, Payments (with a count), Forms, Communications, and Activity. The Payments tab lists money applied so far; Communications shows the email history; Activity is the audit log.

Revenue indicator

Some invoices carry a badge next to the header: Deferred Revenue (amber) means the revenue is held until the shipment is delivered — reclassification fires automatically on delivery — while Recognized (green) means it has already been taken to income.

Balance

Below the header tiles, the Balance card tells the invoice's story in its own currency: the Invoice total, then each credit applied and each payment received (with its date), then what is Still open (or Paid in full). For an invoice in another currency than your company's, the total also shows what it was worth when posted, at its rate; a payment in another currency shows what was received and at which rate; and when settling booked an exchange difference, the line shows it (FX gain or FX loss, in your company's currency). Each credit and each payment links to its own record. Anything the stored figures do not explain shows as Other adjustments, so the card always adds up to the balance.

A draft reads "Not posted yet: nothing is owed until it is posted." A voided invoice reads "Voided: nothing is owed." with the void reason, and so does its Balance Due tile.

While the invoice has something open and the customer has open credits in the same currency, the card lists them, each with Apply credit. It opens the Apply sheet with this invoice already filled in, at what the credit can cover of its balance. See Credit Memos (AR).

Actions

  • Edit — on a Draft, opens the invoice form.
  • Post Invoice — posts a draft to the ledger. A confirm reads "This will create journal entries and cannot be undone."
  • Receive payment — on an Open or Partial invoice with a balance. It opens the payment form already filled in from this invoice: its customer, this invoice ticked at its open balance, its currency, that amount, and auto-apply off. Change the amount if the customer paid a different one. After saving you come back to this invoice. The same action is in the invoice's row menu on the Invoices list. See Record a payment against an invoice.
  • Send to Customer — emails the posted invoice to the customer (shown once Open, Partial, or Paid).
  • Create Payment Link — generates a Linbis Pay online-payment link. It appears only when the invoice is posted, has a balance, and is in USD. See Payment Collections.
  • Print / PDF — opens the Forms tab, where you generate and download the invoice PDF (it does not download the file directly).
  • Void — reverses a posted invoice. The Void Invoice dialog asks for a reason and warns "This action cannot be undone"; if payments were applied it notes they will be reversed.
  • Delete — removes a Draft ("Are you sure you want to delete draft invoice …").
  • Conversation — the round chat button at the top of the page opens a side panel where you and your teammates can discuss this invoice privately. It is an internal conversation for your staff, not something the customer sees, and a small badge on the button counts unread messages.

Receive payment, Apply credit, Void, and Delete need an accounting role (Owner, Admin, Manager, or Finance). Without one they are shown greyed out with the reason: "This accounting action needs the Owner, Admin, Manager or Finance role. Ask an administrator to give you one."
